How to add text to a PDF

Last updated: September 6, 2026

A PDF is supposed to be final, until you need one small addition. A date on a form, 'PAID' on an invoice, a project code on every page. Here's how to write onto a PDF without exporting it to Word and back, and without uploading it anywhere.

Want to just do it now?

Use our free Add Text to PDF tool. It runs in your browser.

Writing onto a PDF, step by step

  1. Open the Add Text tool.
  2. Select or drag in your PDF.
  3. Type the words you need: a date, a reference number, a stamp like APPROVED or PAID.
  4. Pick one of nine positions, set the font size and pick a color to match or contrast the page.
  5. Choose which pages get the text, press Add text, and download the updated PDF.

Real text, not a picture of words

This is the detail that separates a good result from a sloppy one. The words you add are written into the PDF's content stream as genuine vector text set in Helvetica, which is embedded automatically so it renders identically on every device. Because it is real text and not a flattened image, you can select it, search for it and copy it out just like the original content of the page. It stays perfectly sharp however far a reader zooms in, and a screen reader can voice it. Tools that drop a rendered picture of your words onto the page give up all of that: the text turns fuzzy on zoom, cannot be searched, and is silent to assistive technology.

Add Text, Add Image, or Draw: which one?

Several tools put marks on a PDF, and picking the right one saves rework. This guide's tool is for typed words; the others exist for different jobs.

Working with pages and positions

Pages are entered as a list, so you are not limited to "all" or "one": a single page (3), a continuous range (1-5), or a scattered set (1, 4, 8-10) all work. The same text, size, color and position are applied to every page you list, which is exactly the behaviour you want when stamping a project code or a date across a batch. Position is one of nine anchor points (the four corners, the four edge midpoints, and the center), each held at a consistent margin so your text lands in the same spot regardless of whether a page is A4, Letter or something unusual.

Real-world jobs it handles

A few examples show the range. Marking an invoice: type PAID - 12 Oct in a corner before filing or forwarding it. Dating a signed agreement: add the effective date to the first page without reopening the source document. Labelling a submission: stamp a candidate reference or a confidential file number on every page of a multi-page pack so no loose sheet is ever unattributed. In each case the alternative, exporting to Word, editing, and re-converting, risks reflowing the whole layout, and this avoids that entirely.

Private because it runs on your machine

The text is drawn into the PDF by code running in your own browser, so a contract you are dating or an invoice you are marking is never handed to a server to be processed. Nothing about the document is transmitted; the edited file simply appears for you to download. When the thing you are annotating is sensitive, that local-only path is the whole point, and if you want to understand how it differs from sites that quietly upload your file, read are online PDF tools safe.

Frequently asked questions

Will the text be selectable, or just a picture? Fully selectable. It becomes part of the PDF's text layer, so it can be searched, copied and read aloud by screen readers.

Can I place text at an exact pixel? Placement is by nine fixed anchors with a set margin, which is ideal for stamps and labels. For pixel-precise boxes you would need a full PDF editor.

What fonts can I use? Helvetica: clean, universally supported, and embedded so it looks the same everywhere. You control the size and color.

Can I put different text on different pages? Each run applies one piece of text to the pages you list. For a second, different label, run the tool again on the file you just downloaded.

Can I edit the text later? Once downloaded it is part of the page and not re-editable here, so keep your original if you expect changes. To correct a typo, redo the step on the un-stamped source.
